Marketing Manager - Product Development - Churchill Downs Racetrack (Louisville, KY)

Summary

Seeking a candidate with experience in special event or consumer product development to support the Churchill Downs® Racetrack marketing team in the conception, execution, communication and analysis of events, promotions and new ticketed products to drive incremental attendance & venue profitability. This role offers the opportunity for ownership of marketing programs and to contribute to the overall Churchill Downs and Kentucky Derby marketing strategy.

Essential Duties

Include, but are not limited to, the following:

  • Support Product Development Director in the planning and execution of special event days (e.g. Thurby, Downs After Dark, Family Adventure Day, etc.).

  • Lead competitive event tracking & calendar planning

  • Assist in the ideation & development of special event concepts and content as guided by consumer insights and marketplace trends

  • Lead development, future vision & identification of marketable selling points for select projects

  • Lead cross-functional team to plan and execute assigned consumer experiences with a focus on consumer satisfaction, promotability & financial performance

  • Continuously research sports, culinary & live entertainment market to identify opportunities for future special events and content partners

  • Document & distribute project minutes and internal briefing documents

Education, Experience, Skills and Abilities

  • Bachelor’s degree (B.A.) from four-year college or university in Marketing or a related field.

Required Qualifications

  • 2+ years professional experience in special event or consumer product development with a focus on marketing.

  • Demonstrated passion for marketing, special event development and/or the horseracing industry

  • Proven ability to collaborate with & lead a cross functional team

  • Highly detail oriented, self-motivated, able to multi-task and work independently with above-average organizational skills.

  • Excellent oral and written and communication skills

  • Strong analytical skills & comfort with math and finance

Working Conditions

Weekend and evening work required during live racing meets.  Working conditions are normal for an office environment. Must be able to maneuver around the racetrack and withstand hot/cold conditions.

Seasonal Event Coordinator - Churchill Downs Racetrack (Louisville, KY)

SUMMARY

The Seasonal Event Coordinator is responsible for planning, organizing, and executing various promotional events, special projects, and servicing internal and external customers of Churchill Downs Racetrack (CDRT).  This is a temporary position that would begin mid-March 2017 and continue through Derby Week.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Seasonal Event Coordinator works directly with internal and external clients to plan and facilitate group sales events including “Day at the Races”, marketing promotions, community relations, banquets, corporate meetings, weddings, and other initiatives as necessary. 

Duties include, but are not limited to:

  • Effectively communicating details of each event to all necessary departments to ensure success.
  • Creating custom Banquet Event Orders (BEO) and room diagrams for events and pulling daily racing reports.
  • Evaluating guest issues related to pricing, overcrowding, dress code violations, ticket discrepancies, table arrangements, seat locations, etc.
  • Assisting and facilitating all events booked by Group Sales, Marketing, Premium Ticketing, and Community Relations.
  • Contacting the sales team and customers in advance to confirm all details related to the event and assist the team in facilitating plans and fully responding to day of requests.
  • Promoting and providing exceptional customer service within each Group Sales venue.
  • Addressing and resolving all guest complaints in a mutually beneficial manner.
  • Ensuring courteous, professional, sincere, and responsive communications with all customers – addressing each one by name.
  • Completing clerical and administrative tasks as necessary.
  • Performing light physical work required to set up events.  Extensive walking is typically required.
  • Coordinating paddock tours and trophy presentations for select races….oftentimes working in specialized areas with children and seniors.
  • Educating patrons on the basics of wagering, on track promotions, key areas of the facility, local sites of interest, the Jr. Jockey and Twin Spires Clubs, assisting with tickets, instructions, and helping customers with special needs.
  • Assisting customers/vendors, often spending several hours on foot indoors and out.
  • This position will be required to work evening hours and weekends when needed.
  • Perform other related duties as assigned.

Track/Slot Operations: Usher/Ticket Taker
Seasonal Ticket Sales Attendant - Churchill Downs Racetrack (Louisville, KY)

The Churchill Downs Racetrack Ticketing Department has an opening for a seasonal Ticket Sales Attendant. This position will report to the Box Office Manager and is responsible for assisting in the fulfillment of gate admissions and ticket selling needs.

Positions are available for:

  • Kentucky Derby and Oaks: May 5th and 6th
  • Derby Week: April 29th - May 6th 
  • 2017 Race Season: May/June, September, and November.

Job Duties would include:

  • Serve as a box office team member, assisting all walk up sales at the gates and box office window.

  • Serve as an admissions gate team member by assisting all patrons that enter the facility and reviewing the status of scanned tickets as necessary.

  • Assist in the fulfillment of ticket requests and will call by verifying the accuracy of ticket orders.

  • Accepts payments and makes change accurately.

  • Keep daily balance sheet of cash received and tickets sold; submit cash to Box Office Manager for audit.

  • Work to ensure customer's needs are fulfilled and ensure the customer receives outstanding service while assisting with general venue and event information.

  • This position will require some standing during shifts at gates.

  • Other duties as assigned.

Track/Slot Operations: Event Guest Relations
Stakes Room Concierge (Seasonal) - Churchill Downs Racetrack (Louisville, KY)

SUMMARY  

Provides personal and uncompromising service to any and all private groups and guests. Ensures that every detail of the guest’s racing experience is attended to and assists in creating an atmosphere in which every guest will want to return.

**This is a temporary position that will begin mid-April 2017 and continue through the end of the Spring Meet.  

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Develops and maintains respectful relationships with Turf Club Members, TSC Gold Members, private groups and guests using warm and sincere greetings and farewells using guest’s names whenever possible.
  • Responsible for providing Levy and any other service providers with detailed and up-to-date “Profile” information on each event day. Participating in pre-shift huddles is mandatory.
  • Responsible for facilitating and managing customer reservations, as well as seating changes and pricing adjustments.
  • Performs functions in order to “open” the room prior to gates, which include turning on TVs, adjusting the track audio level, turning on lights, etc. This position will remain in room until the last guest has left the floor and will ensure all functions to “close” the room have been performed.
  • On Stakes Race Days – assist the Horsemen’s Relations Assistant with seating for owners and trainers as needed.
  • Develops and maintains relationships with outside vendors (i.e. restaurants, hotels, etc.)
  • Responsible for maintaining an open line of communication with guests and all service contractors involved in servicing the facility (i.e. Levy, Tote, Housekeeping, Ticketing, etc.)
  • Responsible for facilitating the execution of any “special service” offerings in the facility (i.e. orchestrate paddock tour offerings, photo ops., etc.)
  • Responsible for using consistent and proper telephone etiquette, answering the phone within 2 rings and with the standard greeting “Thank you for calling the Stakes Room, this is (name), how may I help you?” Using guest’s names whenever possible during the conversation is mandatory.
  • Responsible for escorting guests, when available, as opposed to directing guests to other areas of the  Stakes Room.
  • Responsible for the collecting of “Daily points of service” checklists each event day, from all departments, and compiling feedback information for the Director of Events.
  • Responsible for reporting maintenance problems and seeing that each is resolved in a timely manner.
  • Develops and maintains a high level of service standards in all Stakes Room-related operations to include, “above and beyond” service empowerment, service recovery programs, and complaint resolution.
  • Responsible for maintaining and participating in a customer satisfaction feedback system for the Stakes Room.
  • Responsible for achieving and maintaining exceptional service ratings in all room operations.
  • Maintains impressive and effective working relationships with internal operations departments to ensure that all activities in and around the facility have a positive impact on guests.
  • Responsible for maintaining a stock of necessary race day items, which include racing programs, pencils, coat storage and hangers, customer identification, wagering information, etc.
  • Responsible for behaving in an exemplary manner at all times; to project a professional bearing and not allow personal feelings or personal problems interfere with impressive guest service.      
  • Responsible for performing with empowerment, to own all problems that guests may have, taking every measure to ensure the problem is resolved with appropriate follow-up.

Track/Slot Operations: Event Guest Relations
Suite Concierge (Seasonal) - Churchill Downs Racetrack (Louisville, KY)

SUMMARY  

The Temporary Suite Concierge is responsible for executing day of contract fulfillment for temporary suites in the infield and the first turn of the racetrack.  The Concierge will work with internal and external guests to execute contractual obligations to the client. The Concierge will serve as the main point of contact for the client on day of event.  He/she will ensure that all suite particulars are set and in working order prior to guest’s arrival.  This would include making sure food and beverage orders are set on time, the catering menu has been fulfilled and replenishments are being taken care of in a timely manner.  This is a temporary position that will begin late-April 2017 and will continue through Derby day.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Duties include, but are not limited to:

  • Assist client to make sure client is satisfied with all details regarding the suite and accommodate any additional requests they may have. Communicate immediate needs with the Command Center.
