JOB SUMMARY

This position is responsible for communication with Churchill Downs clients in the planning, set up and coordination of “Day at the Races” groups and event details. As part of the Event Team, the Event Concierge will provide service for our customers through answering questions, providing directions, solving problems and greeting guests. Our Event Concierge staff have dynamic, energetic personalities and enjoy smiling and making people happy. Responsible for light accounting duties. Job requires exceptional flexibility and teamwork skills. Position is also responsible for some administrative duties.

GENERAL INFORMATION

Dates: February-July 2010
$12.00 per hour
Approximately 40 hours per week
Must be able to work from 9:30 a.m. to 6:00 p.m. during the Spring meet and be available all seven days
of the week (plus other hours as needed).
Must be able to work all holidays including Mother’s Day, Father’s Day, Memorial Day and Fourth of July.


ESSENTIAL FUNCTIONS:
 

  • Provide team player spirit with an exceptional customer service attitude.
  • Work as key liaison between the client and Churchill Downs, assist in fulfilling all details as outlined by client and ensuring complete accuracy and success for each event.
  • Adhere to the Event Services Checklist during the planning process (i.e. ticket generation, table assignments, final guarantee call, up-sell products/services, client gift distribution, etc.).
  • Daylight Software – ensure all Banquet Event Invoices (BEI) and Banquet Event Orders (BEO) are complete and accurate to ensure correct billing; log customer contact calls in Daylight under the account’s booking.
  • Attend pre-shift meetings on a daily basis.
  • Act as support person for other Event Managers or Event Team staff as needed.
  • Serve as a complete team player and be receptive to change within the department and CDRT.
  • Work extended hours as needed.
  • Responsible for working in each Group Sales venue, promoting and providing exceptional guest service. This includes greeting guests as they arrive on the day of their event, addressing and resolving any guest complaints, providing instant guest pacification whenever possible, and ensuring all details are facilitated quickly and accurately. Responsible for responding quickly and efficiently to questions from guests regarding directions, group sales, Derby activities, tickets, and/or any track services. Responsible for being knowledgeable about Group Sales booking procedures and promote future bookings.
  • Ensure that all communications and correspondence with guests are courteous, sincere, and professional, always using a guest's name if and whenever possible.
  • Responsible for contacting groups prior to arrival to confirm final details of their event, assist the in facilitating the events booked by these groups.
  • Occasional light physical work required during set up for events. Extensive walking may be required.
  • Facilitation of events as assigned by the Event Team and occasional evening event assistance will be required.
  • Assist in the office as needed, example of duties to include ticketing, confirming banquet event orders, answering calls to promote group sales and/or answer questions, calling clients to confirm final details of event, and general office clerical work.
  • Coordinate paddock tours and trophy presentations for select races. Work in specialized areas with children and seniors.
  • Responsible for assisting to survey group sales customers.
  • Responsible for educating patrons of basic betting procedures, new forms of wagering, promotions, on track facilities, local sites of interest, Jr. Jockey Club, and Twin Spires Club; greeting motor coach groups and assisting with tickets, instructions, and any special needs. May also be able to drive a golf cart to shuttle guests to the gates from the parking areas.
  • Perform other related duties, as assigned.


EDUCATION and/or EXPERIENCE

  • High school diploma required. College degree preferred.
  • Proven organizational and project management skills with an ability to handle multiple assignments in a fast-paced environment with tight deadlines. Must be detail oriented, organized, self-motivated and enthusiastic.
  • Excellent interpersonal and communication skills, as well as demonstrated professionalism and diplomacy. Ability to exercise sound business judgment generating effective solutions quickly and/or raising issues to management as necessary.
  • Computer skills in Microsoft Word, Excel, Outlook, Visio, Powerpoint, Publisher and Daylight and working knowledge of the horse racing industry also helpful.
  • Weekend, early morning and evening work required.

Track/Slot Operations: Security
Director of Security - Churchill Downs (Louisville, KY)

SUMMARY

Establish and maintaining the Company's security, safety and property protection programs by performing the following duties personally or through Security Department staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to the following:

• Review all security policies/procedures on an annual basis. Propose additions, deletions and/or modifications as deemed appropriate for review and consideration. At the beginning of each calendar year, distribute copies of updated policies to the appropriate individuals.

• Confer with representatives of local government to ensure cooperation and coordination of activities with law enforcement and firefighting agencies.

• Meet at least monthly with the various racetrack/corporate staff to review and discuss the Security Department’s operation.

• Arrange for ambulance services during training hours. Monitor work habits and response procedures and make recommendations, as appropriate.

• Monitor all entry and exit gates located on the property, at the Greenhouse location and at theTrackside location (Poplar Level Road). Maintain efficient staffing and ensure that guards are checking for proper entry and exit credentials, driving credentials, and as considered necessary are inspecting vehicle contents. Effectively monitor all horse entries and exits with procedures approved by the Director of Racing/Racing Secretary.

• Provide continuous monitoring of sprinkler systems, fire extinguishers and other fire and/or safety matters on the various properties. Compile and submit any suspected violations to the appropriate internal contacts for review and proper response.

• Work closely with the Kentucky Horse Racing Authority to ensure that all rules and regulations are followed including, but not limited to, licensing, drug policies and other racing issues. Attend and participate (as appropriate) in all Racing Committee meetings. Respond to and resolve horsemen problems or issues.

• Monitor all agencies conducting business at Churchill Downs including, but not limited to, the Lifestyle Program, Backside Chaplaincy, HBPA, KTA, and the Klein Learning Center. Ensures that all organization activities and operations are carried out in compliance with local, state, and federal regulations and laws governing business operations.


• Report suspicion of or actual security issues and/or any other criminal activities to the VP, Operations for review and response. Follow up appropriately on any information pertaining to suspected or actual illegal activity in or on the various Churchill Downs properties.

• Perform other related duties, as assigned.


SUPERVISORY RESPONSIBILITIES

The Director of Security will direct all Security Staff and will work with other CDRT/CDI management personnel to fulfill all responsibilities of the job.


EDUCATION and/or EXPERIENCE

1. Education/License Requirements: High school diploma required, advanced related education preferred. Current and valid driver’s license required. CPR and First Aid Instructor preferred.

2. Experience Requirements: Must have a minimum of 3 years of related management experience – law enforcement experience preferred.

3. Excellent interpersonal and communication skills, as well as demonstrated professionalism and diplomacy.

4. Exceptional organizational and project management skills with an ability to handle multiple assignments in a fast-paced environment with tight deadlines.

Operations Manager - Churchill Downs Entertainment Group (Louisville, KY)

SUMMARY
Coordinates and execute the administration, and implementation of all CDE events. Responsible for ensuring the operational elements of the events are kept within budgetary restraints to help ensure that CDE minimizes expenses.

PRIMARY DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING. OTHER DUTIES MAY BE ASSIGNED
• Serve as the primary CDE liaison with vendors to facilitate the accurate and timely information exchange involved in the planning, design, development, and operation of the Event.
• Responsible bidding, selecting and implementing the services of local vendors. Works directly with all vendors to coordinate their operations.
• Serves as secondary liaison with representatives of all entities doing business in connection with the Event.
• Responsible for the construction/production schedule exclusive to the Event. This includes (but is not limited to): securing construction equipment used by staff and working with vendors and the host site to ensure a successful construction and teardown of the event.
• Assists in executing a solid parking and traffic plan.
• Assists with executing a successful medical/first-aid plan.
• Directs the planning of the media compound and space needs.
• Directs the planning of ecology and litter patrol requirements. This includes (but is not limited to): determining the appropriate ecology areas, determining the ecology schedule, selecting an ecology vendor, and working with ecology vendor to ensure a successful event.
• Helps to coordinate all deliveries and the delivery schedule for the Event. This includes (but is not limited to): trailers, furniture, radios, office equipment, etc.
• Updates and seeks annual improvement of various organizational tools/documents for communicating the operations and administration needs of the Event.
• Develop and manage the event credential system to ensure all vendors and special guests have appropriate access rights while maintaining appropriate event security.
• Assist in activating sponsorship programs.
• Develop and execute onsite event and special traffic signage plans
• Performs all other duties as requested.

EDUCATION & EXPERIENCE
The successful candidate will have held operations management or support positions with financial accountability, ideally in a successful major consumer oriented sports or entertainment environment. This individual is self-confident, with a strong work ethic; and is the type of person who has successfully implemented plans that have improved program effectiveness and positively impacted bottom-line results.
• Undergraduate degree required.
• Three to five years experience with increasing responsibility in large scale event or management field.
• Experience in sports or major entertainment event management preferred.
• Superior initiative with outstanding organization and motivational skills.

MANAGERIAL RESPONSIBILITY:
• Supervises Non-Exempt employees (varies by Event).
• Manage operational vendors.

FINANCIAL RESPONSIBILITY:
• Must adhere to budgetary guidelines established prior to each event.

SUMMARY:
Manages the accounts payable function of Churchill Downs, Inc., including oversight of several accounts payable specialists, in accordance with policies set forth by Corporate Finance. The Accounts Payable Supervisor will also be integral in helping to make the accounts payable function as efficient and effective as possible. The Accounts Payable Supervisor reports to the Manager of Purchasing/Payables.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Monitors the accuracy and completeness of the processing of invoices/vendor statements in the accounts payable system by accounts payable specialists.

• Reviews weekly check runs for accuracy and completeness, while also ensuring that proper authorization and general ledger account numbers have been obtained in accordance with the policies of Churchill Downs Inc.

• Reviews accounts payable entries prepared by accounts payable specialists to ensure compliance with company policies and monitors accounts payable reports to ensure vendors are paid correctly and timely.

• Prepares 1099 forms on an annual basis, as well as other necessary regulatory reporting as required.

• Performs all essential functions of accounts payable specialists such as processing invoices/vendor statements, processing expense reimbursement forms, preparing weekly check runs and reconciling accounts payable as needed.

• Evaluates accounts payable processes and identifies areas to improve efficiency as well as strengthen internal controls.

• Manages the e-payables program of Churchill Downs Inc., maximizing participation in this program by vendors as much as possible.

• Works closely with the Purchasing Department in an effort to maintain a strong system of internal controls throughout Churchill Downs Inc. with respect to the purchasing and payables cycle.


SUPERVISORY RESPONSIBILITIES:
Supervisory responsibilities include the oversight of accounts payable specialists. Responsible for annual performance evaluations on direct reports.

EDUCATION and/or EXPERIENCE:
• Bachelor’s degree (B.A. or B.S.) from four-year college or university or equivalent experience
• 5-10 years of general Accounting and Accounts Payable experience combined or equivalent
• Experience in a centralized, shared service Accounts Payable environment a plus
• Experience with 1099’s, W-9’s required
• Proficient with Microsoft Excel, Word; Experience with JD Edwards a plus

SUMMARY
Provides personal and uncompromising service to any and all Suite holders and guests. Ensures that every detail of the guest’s racing experience is attended to and assists in creating an atmosphere in which every guest will want to return.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limed to the following:

• Develops and maintains relationships with outside vendors (i.e. restaurants, hotels, etc.)

• Responsible for maintaining an open line of communication with Suite holders and all service contractors involved in servicing any suite. (i.e. Levy, Tote, etc.)

• Responsible for facilitating the execution of any “special service” offerings in the suite facility. (i.e. orchestrate paddock tour offerings, photo opps., etc.)

• Responsible for providing Levy and any other service providers with detailed and up-to-date “Profile” information on each event day. Participating in pre-shift huddles is mandatory.

• Responsible for using consistent and proper telephone etiquette, answering the phone within 2 rings and with the standard greeting “ Thank you for calling the Jockey Club Suites, this is (name), how may I help you?” Using guest’s names whenever possible during the conversation is mandatory.

• Develops and maintains respectful relationships with Suite holders and Suite guests using warm and sincere greetings and farewells using guest’s names whenever possible.

• Responsible for escorting guests, when available, as opposed to directing guests to other areas of the suite facility.

• Responsible for the collecting of “Daily points of service” checklists each event day, from all departments, and compiling feedback information for the Director of Suite Services. Responsible for recognizing those employees who exhibited exceptional service with Winning Colors or Company Hero nominations.

• Responsible for reporting maintenance problems and seeing that each is resolved immediately.

• Responsible for collecting individual and company information on all Suite-holders and their guests, updating their “profiles” after collection. Using that information to “personally” impress guests at every possible opportunity. Looking and listening for special events and special or unique recognition points is a must and a key impress point.

• Develops and maintains a high level of service standards in all suite related operations to include, “above and beyond” service empowerment, service recovery programs, and complaint resolution.

• Responsible for maintaining and participating in a customer satisfaction feedback system for the Jockey Club Suites.

• Responsible for achieving and maintaining exceptional service ratings in all suite operations.

• Maintains impressive and effective working relationships with internal operations departments to ensure that all activities in and around the suites have a positive impact on guests.

• Responsible for fulfilling all Suite holder requests by making reservations, appointments, and acting in a “Personal Assistant” capacity for all Suite holders and their guests. Yes is the answer, what is the question?

• Responsible for maintaining a stock of personal needs items, extra programs, racing forms, tip sheets, etc.

• Responsible for maintaining a stock of service recovery give-away items.

• Responsible for tracking all Suite holder’s requests on the Daily Master Sheets and in appropriate Logs. Tracking of any and all satisfaction feedback, customer intelligence, and services rendered are critical.

• Responsible for behaving in an exemplary manner at all times; to project a professional bearing and not allow personal feelings or personal problems interfere with impressive guest service.

• Responsible for performing with empowerment, to own all problems that Suite guests may have, taking every measure the ensure the problem is resolved with appropriate follow-up.


EDUCATION AND/OR EXPERIENCE
One to two years related experience and/or training; or equivalent combination of education and experience.
