    Administrative Assistant to Chairman - Arlington International Racecourse (Arlington Hts, IL)

    Position Objective

    As the Chairman’s Administrative Assistant you will independently performs a variety of administrative duties associated with the overall operation of Arlington International Racecourse. 

    Matters dealt with are confidential and sensitive. 

    Primary Duties and Responsibilities

    You will provide administrative support and will be responsible for day-to-day work activities of the Chairman.  

    • Compose and type correspondence, read and route incoming mail, draft correspondence, memoranda and perform other administrative duties.
    • Prepare documents for the Chairman’s signature and assure accuracy.
    • Accurately transcribe notes in desired format from tape recordings, written notes, and verbal dictation.
    • Interact with management, employees, and the public answering substantive questions on behalf of the Chairman.  Frequently interact with senior level external contacts, from both the public and private sectors.
    • Maintain confidential files.
    • Schedule appointments and keep Chairman informed of meetings, events, and matters of importance. May take minutes during meetings.  
    • Make travel arrangements when necessary.
    • Responsible for project development and implementation, preparing presentations, ensuring professional office support, and acting as a liaison with executive staff.

     Education, Training and Experience

    •  At least 7 years of responsible, high level administrative work experience
    • Proficiency with Outlook, Word, PowerPoint, Excel

    • Excellent grammar, punctuation, writing and editing skills a must.
    • One year certificate from college or technical school and/or training or equivalent combination of education and experience.

    Administration/General Management: Human Resources Management
    Human Resources Assistant - Arlington International Racecourse (Arlington Heights, IL)

    Arlington International Racecourse, leader in the sport of horse racing and entertainment, is seeking an experienced Human Resources Assistant for our growing and dynamic organization.

    Position Objective:

    The Human Resources Assistant is responsible for performing HR-related duties on a professional level and works closely with the Human Resources Director to develop and implement HR strategies, systems, procedures and initiatives in alignment with the overall business strategy. 

                              

    Primary Duties and Responsibilities:

    • Administers various human resource procedures for all organization personnel; assists in the development and implementation of personnel policies and procedures; participates in the preparation of the employee handbook

    • Participates in developing department goals, objectives and systems

    • Maintains and updates human resource information system (HRIS), forms, documents, etc.

    • Assists in managing employee relations, including conducting fact finding inquiries. Participates in advising management on methods and approaches to resolve employee work problems

    • Conducts recruitment efforts for exempt and nonexempt personnel (including seasonal employees); coordinates new employee onboarding; conducts orientations; and writes and places advertisements.

    • Assists in the development of personalized training programs for all employees and departments

    • Manages and administers the employee reward program

    • Maintains confidential personnel records in compliance with state, federal and corporate guidelines

    • Maintains Worker’s Compensation claims, files and coordinates OSHA reporting for track and OTB locations

    • Provides administrative and clerical support to Human Resources Director

    • Assists in working on the front line with various departments throughout the race meet

    • Performs other related duties, as assigned

     

    Required Skills, Knowledge and Abilities:

    • General knowledge of principles and practices of human resources administration; and of HR-related laws, regulations, and procedures

    • Ability to motivate, coach, develop and encourage people to achieve a common goal, fostering positive working relationships and team culture

    • Ability to organize materials to ensure that tasks are undertaken and that measures are put in place to ensure compliance within all areas of operations

    • Impeccable integrity, confidentiality and judgment; ability to both inspire trust and be trustworthy

    • Strong written and verbal communication skills including the ability to effectively collaborate with multi-disciplinary groups and all organizational levels

    • Demonstrated excellent time management and organizational skills - ability to manage numerous initiatives in order to meet deadlines and to deliver high quality outputs including ability to re-order work and priorities

    • Ability to analyze, comprehend, and understand human resource information, and make routine decisions

    • Working knowledge of human resource information systems

    • Excellent level in Microsoft Office including Excel, Word , PowerPoint and Outlook

    Education, Training and Experience:

    • Bachelor's degree in Human Resources or related field or equivalent combination of education and experience

    • A two year minimum experience in human resources or similar position

     

    Supervisory Responsibilities: 

    This position has no direct supervisory responsibilities, but does serve as a coach and mentor to other employees.

    Track/Slot Operations: Security
    Public Safety Officer - Arlington International Racecourse (Arlington Heights, IL)

    This position is responsible for the protection, safeguarding, and security of assets, personnel, customers and all visitors.

    Job Description:

    Our public safety officers are here to promote safety and security to Arlington International Raceourse guests, employees, and the facility. We are willing to provide on the job training to individuals with a can-do attitude.

    Vigilance, dedication, and reliability are a must!

    Primary Duties and Responsibilities:

    • Continuously patrol buildings and grounds, docks or work sites. Racecourse property to include, but not limited to, Grandstand, Trackside, Backstretch, and Parking Areas.
    • Examines doors, windows, and gates to determine that they are in proper working order and secure.
    • Warns violators of rule infractions, such as loitering, smoking or carrying forbidden articles and apprehends or expels persons engaging in suspicious or criminal acts.
    • Inspects equipment and machinery to ascertain if tampering has occurred.
    • Watches for and reports irregularities such as fire hazards, leaking water pipes and security doors left unlocked.
    • Observes departing personnel to guard against theft of company property.
    • Sounds alarm or calls police or fire department by telephone in case of fire or presence of unauthorized persons. Permits authorized persons to enter property.
    • Registers at watch stations to record time of inspection trips.
    • Records and reports data such as property damage, unusual occurrences and malfunctioning of machinery or equipment, for use of supervisory staff.
    • Maintains Crowd control in and around the property. Directs the public to designated parking areas.
    • Review and understands the departments standard operating procedures
    • Diligent in managing and executing standard operating procedures.
    • Cash escort duties.
    • Work as security team member in assisting as additional requests arise.

    Personal Qualifications:

    • Ability to read and comprehend simple instructions, short correspondence and memos.
    • Ability to write simple correspondence.
    • Ability to effectively present information in one on one and small group situations to customers, clients, and other employees of the organization.
    • Bilingual (Spanish) a plus.
    • Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions.
    • Ability to deal with problems involving a few concrete variables in standardized situations.

    Education, Training and Experience:

    High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

    Track/Slot Operations: Facility/Venue Management
    Service Supervisor - Green Oaks OTB - Arlington International Racecourse - Green Oaks OTB (Green Oaks, IL)

    Position Objective:

    This position is responsible for providing customer services under the direction of the OTB Manager.  The position requires the ability to work independently, exercising judgment and initiative in a variety of operational areas, including but not limited to pari-mutuel wagering sales.

                           

    Primary Duties and Responsibilities:

    • Adhere to programs and procedures to enhance the OTB operations in wagering sales

    • Has a good understanding of mutuels, can efficiently generate mutuel tickets for customers and understands the types of wagers. Ability to train customers in operating of self-service machines

    • Ability to protect and reconcile money room and balance funds

    • Provides assistance to Manager as requested including preparation of reports

    • At the direction of or in the absence of the Manager, uses discretion in handling minor customer service and operational issues

    • Responsible for operating and maintaining office equipment; arranges for repairs when necessary

    • Implements administrative polices and procedures in compliance with federal, state and local laws, rules and regulations including personnel issues

    • Prepares and coordinates accident reports and workers compensation reports

    • Assembles racing programs and sells programs to customers

    • Excellent communication skills are a must

    • Perform other related duties as assigned

    In the absence of a manager, may be asked to supervise other employees for short durations of time.
